Proxiio, in coordination with the client, identifies data spread across multiple locations such as email accounts, SharePoint sites, and messaging platforms and consolidates it into a single dedicated repository for easy access, following which Proxiio develops a comprehensive tracker covering all notices, summons, and ongoing litigation matters in line with the client’s requirements, with case files, pleadings, orders, and supporting documents reviewed for completeness and systematically organised, each matter being assigned a dedicated folder within the client’s designated repository along with embedded hyperlinks for quick and seamless access.

Data Structuring and Validation

All relevant data points are captured, including matter details, court information, hearing dates, case status, document availability, related entities, and financial impact, with the information validated by the client’s designated SPOC to ensure accuracy and completeness before the tracker goes live.

Ongoing Maintenance and Post-Hearing Updates

After every hearing, Proxiio updates the tracker with the latest outcomes, next hearing dates, and related documents in coordination with the client, ensures that case records on the workflow management system (WMS) remain current with all links and files verified, and promptly escalates any pending clarifications to the client team.

Hearing Monitoring, Alerts, and Escalations

The service includes systematic monitoring of all upcoming hearings with automated reminders issued at predefined intervals, followed by multilevel escalations in case of delays, ensuring that no hearing date is missed and that every action is tracked end-to-end through a structured workflow.

Document Management Integration

All documents are securely stored on the designated platform (such as OneDrive), with the tracker providing direct links to enable quick and efficient retrieval of pleadings, orders, and filings during preparation, review, and reporting.

Reporting and Transparency

Proxiio delivers weekly summaries and monthly portfolio-level reports covering matter updates, ageing details, docket-style timelines, and responsiveness metrics, thereby supporting strong internal governance and informed strategic decision-making.
